Terms & Conditions

We have been priveledged to have many wonderful guests stay at our cottages, who have treated them with great respect. Sadly the conduct of a minority group of guests has resulted in us having to take a bond of £100 and produce a list of terms and conditions, which we now have to ask all guest to agree to as part of their booking process.

The contract between you, the client and Pembrokeshire Courtyard Cottages will be deemed to have been entered into once the Booking form is signed or the initial deposit is processed which ever is the former.

1. A non refundable 30% deposit is payable on booking with the balance due 2 months prior to the date of your arrival at the cottage. The deposit is returnable if the booking is not accepted. We reserve the right to cancel your booking should you fail to make full payment on time. A confirmation of your booking will be issued upon receipt and full directions will be sent upon receipt of the final payment and bond.

2. Bookings cannot be accepted from persons under the age of 18 years.

3. The client will use the accommodation for private holiday purposes only and will not sub-let the property. The properties of Pembrokeshire Courtyard Cottages are used as holiday accommodation and therefore exempt from security of tenure under the Rent Act.

4. Pembrokeshire Courtyard Cottages believe that the information on our web site is correct but cannot accept responsibility for errors or misunderstandings. To allow for continuing improvement of facilities we reserve the right to alter or amend the amenities or facilities offered. Please be sure to check with us directly if you have any concerns. We cannot accept any responsibility for the accuracy or otherwise of the information provided by the web sites that are linked to / from our site.

5. If your party consists of children or any persons with restricted mobility, you have read and understood the ‘Access Statement’ for the cottage.

6. For the benefit of all our guests we do not allow smoking in the cottages, Coach Houses or Courtyard.

7. We strongly advise all clients to read the welcome & information leaflet in the cottage upon arrival. This is provided in order to enhance your stay and for your own safety. We will charge for any call outs of workmen or other personnel that we deem unnecessary, particularly if these are due to not having read the instructions provided or welcome leaflet.

8. Clients must note that the accommodation is over 140 years old and situated in a rural area. Within the properties there are uneven surfaces, low and exposed beams, slate floors and steps. In the surrounding area there are uneven paths, rivers and riverbanks and un-illuminated areas. Clients must take all reasonable steps to ensure their own safety and that of others in their party and in their care. The owners will not accept responsibility for any injury or loss caused whilst in or around the property.

9. Any client or member of their party wishing to fish does so entirely at their own risk. Children are not to be left unsupervised on our property, including the river and river bank, whether fishing or otherwise.

10. Clients should not use the wood burners (multi- fuel burning stoves) unless familiar and confident with the working of such. Clients and any member of their party use the wood burners entirely at their own risk. Children are not permitted to use the wood burners, nor are they permitted access to the log store. Adult guests can avail themselves of the logs (and kindling if available) from the log store at their own risk. Pembrokeshire Courtyard Cottages does not accept any responsibility for any accidents to any persons or property due to the use of the multi fuel burning stoves.

11. Children should only be allowed access to the Coach House games, books and videos under supervision. There is a general selection of games, books and videos some of which will not be suitable for children or children of certain ages.

12. Pembrokeshire Courtyard Cottages, its employees or agents take no responsibility for any loss, damage or injury to person or property (including cars, accessories or contents) whilst within the confines of Pembrokeshire Courtyard Cottages, or whilst the client or any member of their party is engaged in any activity, or any illness arising from any cause whatsoever. We take no responsibility for any valuables or property left on or around the premises at any time.

13. Your accommodation will be available to you from 3pm on your date of arrival. You must vacate the cottage by 10am on your date of departure. We cannot be held responsible for any circumstances beyond our control that result in a minor delay in the cottage being available for your occupation.

14. If you have not vacated the cottage by 10:30 am on the day of departure, we will charge for every fifteen minutes after 10am at a rate of £10 per hour per cleaner, plus an administration fee of £25.

15. The client undertakes to keep the premises and all furniture, fixture, fittings and effects in or on the premises in the same state of repair and condition as the same are in at the commencement of the letting and shall report and pay to the owners the value of any part of the premises, furniture, fittings and effects so destroyed or damaged as to be incapable of being restored to its former condition.

16. A bond of £100 is payable together with the final balance. The Client accepts that the cost of any breakages, damages or losses will be deducted from this.

17. The client is responsible for the full cost of any damages, breakages or losses such as those outlined in sections 7, 14, 15 & 20, even if this exceeds the amount contained within the bond, the excess will be payable upon demand, or automatically deducted from credit card details. If we have to pursue you, the client for these monies we will charge you for all our costs in doing so.

18. If the client is booking the cottage on behalf of another party, in signing our booking form you, the client are responsible for any breakages, damages or losses such as those described in sections 7, 14, 15, 16, 17 & 20.

19. You, the client, are responsible for the keys to the cottage. If these are lost or not returned we will charge for the cost of obtaining and fitting a replacement lock (s) and 5 duplicate keys.

20. Only the number of guests stated at the time of booking will be allowed to stay in the property, unless otherwise agreed in writing by the owners. You will not permit anyone who is not a member of your party access to the cottages or Coach Houses (other than any emergency maintenance person who has been organised by the manager or owners). If you do you are responsible for any breakages, damages or losses as a result. Pembrokeshire Courtyard Cottages reserve the rights to refuse entry to the entire party or remove them from the accommodation if this condition is not observed.

21. Pembrokeshire Courtyard Cottages provide accommodation to a high level of cleanliness. The client and all members of their party shall take all reasonable and proper care of the property and its furniture, fixtures & fittings and effects and leave them in the same state of repair and the same clean and tidy condition at the end of the rental period as at the beginning. Should these fall below this standard then a flat fee of £10 plus £15 per hour to return the cottage to its pre-let condition will be charged.

22. The agreement to allow pets (the term pets refers to dogs only)onto the property is conditional that they are not allowed into the bedrooms, nor should they be permitted to sit or lie on any of the sofa’s, chairs or other soft furnishings. Dogs are accepted on the condition that they are not allowed to foul in the Courtyard area and otherwise in the vicinity of the property. If your dog fouls in the Courtyard, garden area or car park you are responsible for clearing this up. If not a fee of £50 will be withheld from your bond. For the consideration of other guest’s dogs must be kept under strict control at all times and not left unattended in the property or Courtyard at any time. Failure to comply will render the contract terminated and you may be asked to vacate the premises. You, the client will be responsible for the cost of any breakages, damages or losses caused by your pet.

23. Pembrokeshire Courtyard Cottages and its agents reserve the right to decline entry and accommodation or to expel any client or member of their party or visitor for conduct, which in our sole view is detrimental to the Courtyard or the comfort of other visitors. In the unlikely event that we should have to gain entry to the property during your occupancy, we reserve the right to do so. We would always endeavour to do so when convenient to the occupier.

24. In the event of accommodation booked in good faith not being available owing to circumstances beyond our control we will refund in full all moneys paid to us by you for the period of rental so affected. If we should need to cancel a booking thus, then the responsibility and financial liability of Pembrokeshire Courtyard Cottages shall be limited to the return of monies received .

25. Should you cancel your booking, for what ever reason, at any time the deposit is non - refundable. Should you cancel the booking within 2 months of your due arrival date, (failure to pay the balance of monies due on time is taken as a cancellation) then every effort will be made to re- let the cottage, but failing this the entire rental fee will be payable. If the cottage is re-let we will refund the balance of monies paid to us by you, minus an administration fee of £50 and any other losses we incur. The deposit is non-refundable. We would therefore strongly recommend that guests take out their own holiday insurance.
